Custom Event AV Setups: Why Standard Packages Don't Fit Every Space

When a venue doesn't match a standard AV package, a custom setup solves problems standard gear can't. Here's what goes into planning one and why it matters.

An office manager booking an all-hands in a converted warehouse space. A couple getting married in a backyard with a sloped lawn and no outlets near the arbor. A school planning an awards night in a cafeteria with cinderblock walls and terrible acoustics. None of these spaces were built for AV, and none of them match the "one projector, one speaker, one mic" package that works fine in a standard conference room.

Why a Standard Package Often Doesn't Fit

Most AV problems aren't about equipment quality — they're about mismatch. A single speaker that sounds fine in a 30-person meeting room disappears in a backyard with open air pulling sound away from the audience. A projector bright enough for a dim office washes out completely under afternoon sun at an outdoor ceremony. A wireless mic kit built for one presenter doesn't cover a wedding that needs a lapel mic for the officiant, a handheld for toasts, and a separate feed for ceremony music.

Layout and Power Are the Real Constraints

The bigger issue is often logistics, not gear. Where is the nearest outlet, and is it on the same circuit as the kitchen's refrigerators? Is there a sightline obstruction between the screen and half the seating? Does the space have one room or three, and do all three need audio at once? A generic quote based on headcount alone skips these questions entirely, which is exactly how an organizer ends up with a projector that can't reach the back wall or a mic that cuts out every time someone opens a walk-in cooler.

What Happens When the Setup Doesn't Match the Space

A mismatched setup doesn't usually fail quietly. It fails in front of the audience — a presenter repeating themselves because the back row can't hear, a slideshow nobody can read past the third row, a ceremony where guests strain to catch the vows. Fixing it mid-event means lost time, a distracted audience, and in some cases just giving up and raising your voice for the rest of the night. None of that is recoverable once the event has started.

Building the Setup Around the Space, Not the Other Way Around

A custom setup starts with the actual room or site, not a catalog package. That means walking through (or reviewing photos and measurements of) the space to figure out screen size and projector throw distance, how many speaker zones are needed and where they go, how many microphones and what kind — lavalier for someone moving around, handheld for toasts and remarks, a podium mic for a fixed speaker — and where power needs to come from if there's no accessible outlet near the setup location.

Matching Equipment to the Actual Event

From there, the equipment gets selected to match: a brighter projector and matte screen for daylight ceremonies, powered subwoofers for a backyard reception where sound has nowhere to bounce off walls, a second audio zone for a cocktail hour happening while the main room sets up. For hybrid events, that can include a camera and streaming setup so remote attendees aren't an afterthought. Every booking includes delivery, setup, testing before guests arrive, and a technician on site for the full event to handle anything that comes up — not a drop-off.

    The Bottom Line

An event space that wasn't built for AV needs a setup designed around its actual layout, not a generic package sized to headcount. The questions that matter are about sightlines, power, and how many zones need sound — not just how many people are attending. Getting those right before the event starts is what keeps a presentation, ceremony, or program running the way it's supposed to.
