AV Equipment Rental for Events: What We Do and Who It's For

Who EventGear PDX is built for, what a booking includes, and where we're not the right supplier.

We bring audio and video equipment to places that don't have it, for events that happen once. An office after the desks are pushed back. A rented hall, a barn, a backyard, a church basement, a restaurant's private room. A venue whose own system covers half of what the program needs. The common thread is that nobody is going to install equipment permanently for an event that happens once a quarter — or once.

Who This Is For

• Companies without a suitable room — all-hands, training days, client presentations, board meetings held wherever there's space.
• Small businesses on their own premises — staff training, investor demos, product launches, customer evenings.
• Weddings up to about 100 guests — ceremony sound, microphones for vows and toasts, a slideshow at the reception.
• Schools, PTAs and booster clubs — parent evenings, award ceremonies, fundraisers, outdoor events away from the auditorium.
• Religious communities — congregations in rented halls, outdoor services, retreats.
• Private hosts — birthdays, anniversaries, family reunions, memorials, backyard film nights.
• Small outdoor and pop-up events — block parties, markets, community sports days.
• Partially equipped venues — where the room has a screen but no usable sound, no microphones, or nobody to run it.

What a Booking Includes

Every booking is the same shape:

1. Equipment sized to your room and program.
2. Delivery and setup — screen, projector, PA, microphones, cabling, and hybrid audio where needed.
3. Testing of the whole chain with your presenter and their actual slides.
4. A technician who stays for the entire event and runs the room.
5. Strike and removal afterwards.

There is no pick-up option and no drop-off-only rental. The setup and the person running it are the service, not an add-on.

What We Rent

Video projectors and screens. PA systems with speakers and subwoofers. Wireless handheld and lavalier microphones. Streaming and hybrid support with cameras for remote attendees.

Where We're Not the Right Supplier

• Events much larger than about 100 people — concerts, festivals, staged productions and multi-track conferences need a production company, not us.
• LED walls, stage or decorative lighting, staging, DJ or MC services — we don't provide any of these.
• Permanent installation — fitting equipment into a room for good is a different trade. If you need AV once or twice a year, renting is usually the cheaper answer; if you need it weekly, an installer is.
• Outside the Portland metro — we cover Portland, Beaverton, Hillsboro, Tigard, Lake Oswego, Gresham and Vancouver WA, roughly 50 miles around Portland.

Booking

Send the venue and room, the date and schedule, the headcount, who speaks, and whether anyone joins remotely. That's enough for a quote in most cases. Availability depends on the calendar, so the earlier a date is fixed the better — we don't promise a turnaround, and we'd rather decline than take a booking we can't staff properly.

The Takeaway

If your space has no AV, or not enough of it, and the event is a one-off, that's exactly what we do — with the equipment sized to the room and someone in that room while it runs. If your event is a concert, a permanent installation or a production with staging and lighting, you want a different kind of company, and we'll say so.
